The trade fairs will be open on 15 and 16 May 2019 between 9:00 am and 5:00 pm in hall number 4.

The deadline for approving the final stand design developed by third party companies and for ordering additional equipment and utilities expires on 15 April 2019.

  1. Please contact the organiser’s representative upon arrival (contact details).
  2. Assembly is only possible once assembly ID badges have been collected.
  3. Only persons displaying a trade fairs ID badge can access the trade fairs halls.
  4. ID badges and a complete set of materials for exhibitors can be collected in the trade fairs reception on 14 May.
  5. ATTENTION! ID badges are only available on site, we cannot send them out by post.
  6. ID badges for persons arriving late should be left in reception to avoid any possible issues with access to the EXPO XXI exhibition halls.
  7. Please note that assembly works associated with erection of stands have to be complete no later than at 10:00 pm. Stand works and delivery should be planned accordingly.

STAND ASSEMBLY DAY FOR EXHIBITORS

Assembly day: 14 May (Tuesday) 8.00 am -10.00 pm
All assembly works have to be complete on that day. A security agency assumes full control over the exhibition building after 10:00 pm. In situations attributable to fortuitous events and upon consent by the trade fairs commissioner and following payment of a fee in the amount of PLN 500 + VAT for every started hour, exhibition assembly may be extended.

Stands assembled by third parties
Use of stand contractors not on the list recommended by the site owner, i.e. Warsaw’s EXPO XXI Centre incurs a licence fee payable to the site owner in the net amount of PLN 12/m2 of the stand. The fee shall be collected by the organiser and then handed over to the site owner. The stand contractor should be reported to the organiser no later than 15.04.2019 on form 3 (link).

TRADE FAIR DAYS:

Exhibitors access to the site:
15.05.2019 (Wednesday), 8:00 am – 6:00 pm
16.05.2019 (Thursday), 8:00 am – 5:00 pm

From the moment the hall opens to exhibitors until closure at least 1 representative of your company has to be present at the stand.

Trade fairs opening hours for visitors – daily between 9:00 am and 5:00 pm.

We kindly ask you to respect the visitors – on the last day of the trade fairs, i.e. 16.05.2019 (Thursday), the doors remain open until 5:00 pm and pursuant to the trade fairs regulations, stands have to be manned up to that time!

REMOVAL OF STANDS AND EXHIBITS:

16.05.2019 (Thursday) from 5.00 pm.
All works associated with the removal of both exhibits as well as stands have to be completed by 11:59 pm.

CAR PARK:

Stand assembly day: PLN 3/h (cars and lorries).
Trade fairs day, cars: PLN 8 / first hour and PLN 6 / subsequent hours, max. PLN 60 per day
Trade fairs day, lorries: PLN 20 / h at the main car park or PLN 60 / day at the side car park.
Two day pass PLN 85, three day pass PLN 115 (cars only).
Car park tickets can be purchased from machines in the main hall and on level -1 as well as from the car park manager.

PAYMENT TERMS, INVOICES:

Payment for participation in the trade fairs has to be made in full by no later than 15.04.2019 to guarantee access to your stand.
If you require additional time to authorise your payment, please let us know, we will issue a pro-forma invoice.

If your transfer is made after 15.04.2019 or if paying from a foreign bank account, please forward a copy of your bank transfer conformation or present it at the trade fairs reception when you arrive.

Final invoices:

  • will be issued within 14 days of the end of the trade fairs and sent out by post,
  • you can also receive electronic invoices.

ADDITIONAL ORDERS MADE ON STAND ASSEMBLY DAY

1. applicable to a stand:
-additional furniture orders will be processed as far as possible and will incur and additional charge of 50% on top of the standard price  (additional equipment form) – to be linked

2. applicable floor space only
– additional furniture orders will be processed as far as possible and will incur and additional charge of 100% on top of the standard price (additional equipment form) to be linked

3. orders for additional utilities will be processed as far as possible (electricity, water, compressed air) and will incur and additional charge of 100% on top of the standard price (additional equipment form) –to be linked

Attention! All orders placed during the fairs are payable on sit and in cash only. Payments by bank transfer after the trade fairs shall not be accepted.

DISTRIBUTION DURING THE TRADE FAIRS

Companies who ordered distribution of promotional materials amongst PCI Days 2019 participants (print run: 1500 pcs.) should deliver these to the organiser’s address by no later than 01.05.2019:

Ensure your company name is displayed on the parcel together with the following phrase: “PROMOTIONAL MATERIALS DISTRIBUTION AT PCIDAYS 2019”.

SOUND SYSTEMS AT THE STANDS:

The maximum noise level at a stand cannot exceed dB. Directing speakers towards passageways or neighbouring stands is forbidden. If a participant expects the noise level to exceed 70 dB, then they should build or instruct contractors to build an enclosed stand out of soundproof materials. Noise level measurements shall be made at EXPO XXI along circulation spaces by stands. If a participant is found to exceed the acceptable noise levels, the organiser reserves the right to interrupt their presentation and disconnect electricity supply to the stand. Under such circumstances the participant shall not be entitled to any compensation for losses incurred or to a reduction in the charge for exhibition floor space hire and installed electricity connection.

SITE SECURITY:

From the moment the hall opens to exhibitors until closure a representative of your company has to be in attendance. Site security will only apply during the above times. At all other times the exhibitor remains responsible for all items at the stand.

At the same time please be aware that according to the Regulations, the exhibitors are obliged to insure stand exhibits.

It is possible to arrange additional, individual protection for the stand during stand assembly days and trade fairs days – cost: PLN 150 / 4 hours / guard + VAT (See form) to be linked.

COURIERS AND PARCELS:

Materials for the stand sent via a courier or post have to be collected in person. Please ensure the name of the company and stand number are clearly displayed on your parcels. A representative of the given company has to be present at the sand when the courier arrives in order to collect the parcel (the organiser’s representatives shall not accept parcels).
